Official Policy

Terms & Conditions

Effective date: [to be set on publish]

These Terms govern the use of Hostel Manager, a hostel and PG management platform provided by Tractzo (“we”, “us”, “Tractzo”). By creating an account or using the platform, you agree to these Terms on behalf of yourself and, if applicable, the organization you represent.

Draft Notice: This document accurately describes how Hostel Manager operates. It has not yet been finalized by legal counsel — please have your legal team review prior to binding enforcement.

1. Who these Terms apply to

Scope

Hostel Manager is used by three kinds of accounts within an organization's workspace: Owners and staff (who manage hostels, students, fees, and operations), and students (who use a self-service portal for their own fees, complaints, leave requests, and notices). These Terms apply to all of them. If you are staff or a student added to a workspace by an organization, your use is also subject to that organization's own instructions to you.

2. What the service is

Platform

Hostel Manager provides tools for running a hostel or PG: room and bed allocation, student admissions, fee structures and payment records, attendance, complaints, notices, visitor logs, and a self-service portal for students. Fee payments are recorded by hostel staff (cash, UPI, bank transfer, cheque, card, or other methods staff select) — Hostel Manager does not itself process or hold payment card data.

3. Accounts and responsibilities

Security
  • An organization's Owner is responsible for the accuracy of the information they enter, and for the conduct of every staff and student account they create or approve within their workspace.
  • You are responsible for keeping your password confidential and for all activity under your account.
  • New organizations are reviewed before activation; we may approve, reject, or later suspend a workspace — see Section 6.

4. Acceptable use

Rules

Use of the platform is also governed by our Rules & Regulations, which set out prohibited conduct in more detail. In summary: don't use the platform for anything unlawful, don't attempt to access another organization's data, and don't misuse the personal data of students or staff entered into the system.

5. Fees

Billing

Access to Hostel Manager is provided under a commercial arrangement agreed separately between your organization and Tractzo. These Terms don't themselves set a price — refer to your agreement with us for billing terms.

6. Suspension and termination

Policy

We may suspend or deactivate a workspace that violates these Terms, our Rules & Regulations, or applicable law. A suspended organization's data is retained, not deleted, while suspended — see our Privacy Policy for how long data is kept. An organization may stop using the service at any time by contacting us.

7. Data ownership

Ownership

As between you and us, your organization owns the data it enters into its own workspace (student records, fee records, notices, and everything else scoped to that organization). We process it on your behalf to provide the service, as described in our Privacy Policy.

8. Disclaimers and limitation of liability

Legal

The platform is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, Tractzo is not liable for indirect, incidental, or consequential damages arising from use of the platform. Nothing in these Terms limits liability that cannot be limited under applicable law.

9. Governing law

Jurisdiction

These Terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts of [city, state — to be confirmed].

10. Changes to these Terms

Updates

We may update these Terms from time to time. We'll update the effective date above when we do; continued use of the platform after a change means you accept the updated Terms.
